Information We Collect

We only collect the information necessary to provide our visa tracking and reminder services:

• Account information — name, email address (used for authentication and notifications)
• Visa and immigration details — visa type, expiry dates, 90-day reporting dates, entry dates
• Passport information — passport expiry date for renewal reminders
• Uploaded documents — visa documents, passport scans, and other files you choose to store (private to your account)
• Profile preferences — nationality, province, reminder settings, notification preferences
• Usage data — anonymized analytics to improve the service (no personal identification)

We do not collect unnecessary personal information beyond what is needed to operate the service. We never collect biometric data, browsing history, or location data.

Why Information Is Collected

Each piece of information we collect serves a specific purpose:

• Visa and immigration details — to track expiry dates and generate deadline reminders
• Passport expiry dates — to alert you before your passport expires, which can affect visa renewals
• Uploaded documents — to provide a centralized, organized document vault for your immigration paperwork
• Email address — for authentication, account recovery, and sending deadline notifications
• Profile preferences — to personalize reminders and display relevant information for your situation
• Usage analytics — to understand which features are useful and improve the user experience

Data Retention

We retain your data for as long as your account is active. When you delete your account, all associated data — including profiles, visa records, documents, expenses, appointments, and preferences — is permanently removed from our systems. We do not retain personal data after account deletion except where required by law for financial record-keeping (e.g., Stripe transaction records, which Stripe manages according to its own policies).

Account Deletion

You can permanently delete your account at any time from the Settings page or from our Manage Your Data page. Upon deletion:

• All profiles and visa records are permanently removed
• All uploaded documents are deleted
• All expenses, appointments, and preferences are erased
• Active subscriptions are cancelled
• This action is irreversible

Data Export

Cookies

We use essential cookies to maintain your session and authentication. We do not use advertising cookies, tracking cookies, or cookies that follow you across other websites. See our Cookie Policy for details.

Stripe Payment Processing

When you subscribe to a paid plan, payment is processed by Stripe, a PCI-compliant payment provider. Stripe handles your credit card information securely — we never see, store, or transmit your card details on our servers. We only receive a confirmation of successful payment and a subscription identifier from Stripe to manage your plan. Stripe's processing of your payment data is governed by Stripe's Privacy Policy.

Third-Party Services

We use the following third-party services to operate ThaiVisaFlow:

• Stripe — payment processing (see above)
• Resend — transactional email delivery for notifications
• Analytics tools — anonymized usage analytics to improve the service

We do not share your personal information or documents with these providers beyond what is necessary to deliver the service. We never sell your data to any third party.

Data Sharing

We never sell your personal information. We do not share your data with third parties except as required to operate the service (e.g., payment processing through Stripe) or as required by law.

Your Rights

• Access and review your personal data at any time from the Dashboard
• Update or correct your information at any time from Settings
• Permanently delete your account and all associated data at any time
